Staff time calculator

How would staff hands-on time change using your figures?

Enter figures from your own clinic. We count staff hands-on time only — including QR frames, review of flagged photos, and one-time setup.

patients/day
photos

Do not include the QR frame.

seconds

Cropping, rotating, naming and filing. Exclude time when the computer runs unattended.

$/hour

The result is not an estimate of payroll savings.

Not sure? Time the hands-on review and any corrections for 10 flagged photos, then divide by ten.

%

The ≈7% starting value was observed in the founder's clinic. It is not an accuracy figure and may differ in your clinic.

minutes

Installation, configuration and other staff time for initial setup.

i

This calculation estimates the change in hands-on time from the figures you enter. It does not measure software runtime or guarantee financial savings. In the clinic of SmileCrop founder MDDr. Michal Hasala, SmileCrop flagged about 7% of processed photos for review. That is a flag rate, not an accuracy measurement. Unflagged photos were not systematically rechecked, and the rate may differ in another clinic. This calculator does not assess output quality or clinical correctness.

Show the maths and assumptions

See exactly which activities this model includes. It does not currently include routine review of unflagged photos or other recurring SmileCrop tasks.

How this is calculated

  • Monthly photos = patients/day × photos per patient × working days
  • Manual processing hours = monthly photos × seconds per photo ÷ 3,600
  • QR-frame hours = patients/day × working days × QR seconds ÷ 3,600
  • Flagged-review hours = monthly photos × flag rate × review seconds ÷ 3,600
  • Monthly hands-on difference = manual processing − QR frames − flagged review
  • First month = ongoing time released − setup minutes ÷ 60
  • Staff-time value = time released × hourly cost
  • Hours equivalent to price = subscription price ÷ hourly cost

What the calculation assumes

  • Photos per patient excludes the QR frame.
  • Manual time is active staff work — cropping, rotating, naming, filing. Not photography or waiting for the computer.
  • The volume you enter represents an average month.
  • One QR frame is captured per patient.
  • Each flagged photo costs the average time you entered, including any correction.
  • Processing runs unattended, so machine time is not counted as staff time.
  • Setup is counted once, in the first-month result.
  • This model includes no time for reviewing unflagged photos. That is a calculation choice, not evidence that they are correct nor a recommendation to skip review. If your workflow reviews them, add that time yourself.
  • Valuing time does not establish payroll or cash savings.
  • The calculation does not assess quality, accuracy or clinical correctness.
